Send a Text Message From Business Email
How to Send a Text Message From Your Business Email (Step-by-Step Guide)
Email is where most of us already live all day. Texting, on the other hand, gets a much faster response — but juggling a separate app, a new login, or a company cell phone shouldn’t be the price of admission. With TextBetter’s Email-to-Text, you can send and receive real SMS text messages directly from Outlook, Gmail, Exchange, or any other email client you already use. No new software, no porting your number, and no training required.
Here’s exactly how it works.
Step 1: Confirm Your Number Is Enabled for Texting
Before you can send a text from email, your business landline, toll-free, or VoIP/virtual number needs to be text-enabled through TextBetter. This is a one-time setup step — TextBetter pairs your existing 10-digit number with a dedicated email address behind the scenes. Your voice service isn’t touched at all; texting is simply added on top of the number you already have.
If you haven’t completed this setup yet, your TextBetter onboarding contact can get this done in minutes.
Step 2: Open Your Email Client as Usual
There’s nothing new to learn here. Open Outlook, Gmail, Exchange, or whichever email client your team already uses every day. If you can send an email, you already know how to send a text with TextBetter.
Step 3: Address Your Message to the Recipient’s Mobile Number
This is the key step, and it’s simple: instead of typing an email address in the “To” field, type the recipient’s 10-digit mobile number followed by @textbetter.com.
For example, to text (555) 322-1112, you would address your email to:
You can leave the subject line blank — it won’t appear in the text message.
Step 4: Write Your Message
Type your message in the body of the email just as you would any other email. Keep in mind that SMS messages have character limits set by mobile carriers (not by TextBetter), so shorter, clearer messages tend to work best. Longer content like PDFs, links, and pictures are supported too, so you’re not limited to plain text.
A quick example:
John, your appointment is confirmed for 12/3 at 10 AM. To cancel or reschedule, call or text this number at any time. Reply Stop to opt-out. -Regards, Jane @ Bright Dental DDS
Every message you send should include a clear way for recipients to opt out — TextBetter’s SMS Compliance tools help automate and enforce this across your organization.
Step 5: Hit Send
That’s it. TextBetter converts your email into a real SMS text message and delivers it to the recipient’s phone — with your business number showing up as the sender, exactly as your customer already knows it.
Step 6: Receive and Reply to Responses
When your customer replies (or texts your number directly), TextBetter converts that SMS back into an email and delivers it straight to your inbox, in the same thread. To respond, simply hit reply in your email client, just as you would with any other conversation. The back-and-forth stays fully logged and searchable, right alongside your regular email.
Why This Matters for Your Business
Because Email-to-Text treats every message like a regular email, it automatically inherits whatever compliance, archiving, and retention rules your organization already has in place for email. That’s especially valuable for compliance-sensitive industries like healthcare, financial services, legal, and insurance, where documentation and auditability matter. There’s no new system for IT to monitor and no personal cell phones being used for business communication.
It also means no-code CRM and software integration with the tools your team already relies on. Many platforms — including HubSpot, Salesforce, Zoho, Dynamics 365, Pipedrive, and others — can send and receive texts the same way, simply by adding the recipient’s number as an email address on the contact record. Every text is then logged automatically to that contact, with no manual data entry.
A Note on Compliance
TextBetter supports your organization’s compliance efforts by helping with things like 10DLC and Toll-Free carrier registration, opt-out handling, and message retention. However, TextBetter does not verify opt-in status on your behalf, is not responsible for how your organization implements compliance internally, and does not provide legal advice. If you have questions specific to your regulatory obligations, we always recommend consulting your legal counsel.
